Manage Staff Evaluations
Appraisers can manage staff evaluations by attaching and completing evaluation forms (Observations, Walkthroughs, and Summatives) within appraisee evaluations, as well as reviewing and approving appraisee goals.
Set Appraisee Category
1. In the Personal View module, click My Appraisees.
2. Click the All Appraisee tab.
3. In the search box, type the Appraisee Name.
4. Select the checkbox.
5. In the Set Appraisee Category dropdown, search and select the appraisee category that you want to assign.
The message "Are you sure you want to assign '*T-TESS Teacher' category to the following appraisees?" opens, Click OK.
✓The appraise category will be set for the appraisee.
Select your Appraisees
- In the Personal View module, click My Appraisees.
- Click All Appraisees.
- In the search box, type the Appraisee Name.
- Select the appraisee and click Evaluate Appraisee.
The message "Are you sure you want to assign yourself as an appraiser for following appraisees?" opens, Click OK.
✓You will be set as the Appraiser for the selected appraise(s).
Access Appraisee's Evaluation
1. Click the three dotted icon.
2. Click Evaluate Appraisee.
✓ You will be redirected to the Appraisee's evaluation screen.
Attach Evaluation Form
1. In the Evaluations tab, click the evaluation form you want to complete.
2. Click the plus icon.
✓The Attach Form window opens.
3. In the Form Templates dropdown, select the template of your choice.
4. In the Date box, select the date.
5. Click Save.
Perform Evaluation Tasks
An Evaluation Task refers to an evaluation form that are to be attached, completed, and signed within the appraisee's evaluation. Examples include T-TESS Observation Only, T-TESS Summative, and Walkthrough Domain 1-3.
1. Click the form title.
✓The Form window opens.
Note: Fill in the form and click the Save button. The system will also save your work automatically every 2 minutes.
2. Click Mark Viewable.
Note: By clicking the Mark Viewable button, the Appraiser enables the appraisee to view the form. The appraisee will receive an email notification once the form is made viewable.
Add Artifacts
Artifacts are supporting documents or evidence, such as lesson plans, student work samples, or instructional materials, that the appraiser can upload within evaluation forms to support evaluation decisions.
The Appraiser can add artifacts while filling out the form and link them to specific T-TESS dimensions.
1. Click Artifact.
✓ The Artifact window opens.
2. Click Browse and select the required file from your device.
✓ The Artifact document will be uploaded to the Artifact window.
Note: Artifacts can be linked to specific T-TESS dimensions to provide supporting evidence for the evaluation. This allows appraisers to align the uploaded artifacts with relevant performance criteria, ensuring a more comprehensive and evidence-based evaluation.
3. Click the three dotted icon.
4. Click Edit/Add Dimension.
✓ The Add/Edit Artifact window opens.
5. You can rename the File and select the relevant T-TESS dimensions to bind with your Artifact.
6. Click Save.
Note: Artifacts appear as small icons next to the T-TESS dimensions they are linked to.
Add Scripts
Scripts are narrative notes or records captured by the appraiser during an observation. They document what was observed in the classroom, including teacher actions, student responses, and instructional practices, and serve as evidence to support evaluation ratings.
You can add scripts while filling out the form using the Scripting Tool and link them to specific T-TESS dimensions.
1. Click Scripting.
✓ The Scripting window opens.
2. Click the text area and type your script. Click Add to add your script to the list.
✓ The Script will be added to the list in the Scripting window.
Note: Scripts can be linked to specific T-TESS dimensions to provide direct evidence from classroom observations.
3. Click the three dotted icon.
4. Click Edit/Add Dimension.
✓ The Add/Edit Script window opens.
5. You can edit the script and select the relevant T-TESS dimensions to bind with it.
6. Click Save.
Note: Scripts appear as small icons next to the T-TESS dimensions they are linked to.
Sign Evaluation Forms
To complete the evaluation form, the Appraiser and the Appraisee need to sign the form.
1. Click Sign.
✓The Signature window opens.
2. Click Sign.
✓The Security Question window opens.
Note: In the Appraiser application, a Security Question is an additional authentication step required when an Appraiser signs an evaluation form. It serves as a verification method to confirm the Appraiser's identity and ensure that only authorized users can complete and sign evaluation forms.
3. In the Response text box, type your answer.
4. Click Sign.
Note: The task will be completed when the form is signed by both the appraiser and the appraisee.
Approve Evaluation Forms
The Appraiser reviews and approves evaluation forms that are the appraisee's responsibility, such as the Pre-Conference form, Goal Setting form, and PD Plan, once they are submitted by the appraisee.
1. In the Evaluations tab, click the particular evaluation form.
Note: The Status of the form to be approved will be Submitted to Appraiser.
2. Click the Form Title.
✓ The Form window opens.
3. Click Approve after reviewing the form.
The message "Are you sure you want to approve the ' T-TESS Teacher Self Assessment And Goal Setting' form?" opens, Click OK.
✓ The Form will be marked as approved.
Add Comment
The Appraiser can add comments for the Appraisee using the Comment feature within the form.
1. Click Comment.
✓ You will be redirected to the Comments section of the form.
2. In the Text area, type your comments.
3. Click Comment.
✓ Your Comment will be added to the form.
Chat with Appraisee
The Appraiser can chat with the Appraisee within the evaluation form. Each chat is exclusive to that specific evaluation form.
1. Click Chat.
✓ The Chat box opens.
2. In the chat box, type your message and hit the enter key.
✓ Your message will be added to the chat box.
Framework Report Panel
The Framework Report panel displays all the dimensions from the framework assigned to the Appraisee's evaluation category. Each dimension acts as a drilldown and shows all the forms, goals, and professional development courses that are linked to that specific dimension.
1. Click Framework Report.
✓ The Framework Report side panel opens.
Note: Each dimension can be expanded to view related forms, and further clicked to see Professional Growth Goals, Student Growth Goals, and Professional Development Courses linked to that specific dimension.
You can view the historical evaluation scores for T-TESS dimensions of the appraisee through the Framework Report panel.
Sign Evaluation Forms
To complete the evaluation form, the Appraiser and the Appraisee need to sign the form.
1. Click Sign.
✓The Signature window opens.
2. Click Sign.
✓The Security Question window opens.
3. In the Response text box, type your answer.
4. Click Sign.
Note: The task will be completed when the form is signed by both the appraiser and the appraisee.
Manage Pending Signatures
Appraisers can use the Pending Signatures screen to access forms awaiting signatures (from themselves, the appraisee, or both) and send email reminders to Appraisees when a form due date is approaching, prompting the Appraisee to take the required action such as submitting and signing the forms.
Sign Forms
1. In the Search Bar, type the name of the appraisee whose form you want to sign.
2. In the Action column, click the Sign option, once you locate your desired form.
✓The form pop-up opens.
Note: The appraiser can review the form in the pop-up before signing it.
3. Click Sign.
✓The Signature window opens.
4. Click Sign.
✓The Security Question window opens.
5. In the Response text box, type your answer.
6. Click Sign.
✓ Your signatures will be added to the form.
Approve Forms - Pending Signatures
On the Pending Signatures screen, not all forms are immediately ready for signing. In some cases, the Appraiser must first take action before the form reaches the stage where signatures are required. One such action is approving the form.
1. In the Personal View module, click My Appraisees.
2. Click the Pending Signatures tab.
✓The Pending Signatures tab opens.
3. In the Search Bar, type the name of the appraisee whose form you want to approve.
4. In the Action column, click the Approve Form option, once you locate your desired form.
✓The form pop-up opens.
Note: The appraiser can review the form in the pop-up before approving it.
5. Click Approve.
The message "Are you sure you want to approve the 'Part II: End of Year T-TESS Goal Reflections' form?" opens, Click OK.
✓The form will be marked as Approved.
Mark Forms as Viewable - Pending Signatures
In some cases, a form must be marked as viewable before it can move to the stage where signatures are required. Forms attached by the Appraiser (e.g., Observations, Walkthroughs) remain inaccessible for the Appraisee until the Appraiser marks them viewable.
1. In the Search Bar, type the name of the appraisee whose form you want to mark as viewable.
2. In the Action column, click the Mark Viewable option, once you locate your desired form.
✓The form pop-up opens.
Note: The appraiser can review the form in the pop-up before marking it as viewable.
3. Click Mark Viewable.
The message "Are you sure you want to make ' T-TESS Post Conference Form' form viewable to the appraisee? opens, Click OK.
✓The form will be marked as viewable.
Send Reminders
The Appraiser can send email reminders to the Appraisee when a form due date is approaching, prompting the Appraisee to take the required action such as submitting and signing the forms.
Submit Form - Email Reminder
1. In the Search Bar, type the name of the appraisee to whom you want to send an email reminder.
2. In the Form Status column, locate the form with status Form not submitted by Appraisee.
3. In the Action column, click the Email icon, once you locate your desired form.
✓ The Send Email Reminder pop-up appears.
4. Click Send Email Reminder.
✓ The email reminder to submit the form will be sent to the appraisee.
Sign Form - Email Reminder
1. In the Search Bar, type the name of the appraisee to whom you want to send an email reminder.
2. In the Form Status column, locate the form with status Appraisee Signature Pending.
3. In the Action column, click the Email icon, once you locate your desired form.
✓ The Send Email Reminder? Pop-up appears.
4. Click Send Email Reminder.
✓ The email reminder to sign the form will be sent to the appraisee.
Bulk Email Reminders
The Appraiser can send bulk email reminders, which notify all appraisees with pending signatures or unsubmitted forms using the Pending Signatures screen.
1. Click Send Reminder to All.
✓ The Send Reminder to All popup appears.
2. Select the checkbox of your choice.
Note: You can select groups of appraisees who have not submitted their forms, have pending signatures, or both.
3. Click Send Email Reminder.
✓ The email reminders will be sent to the appraisees according to your selection.
Request Goal Revision
The Goal Revision flow allows Appraisers to request changes to an Appraisee's submitted goal by providing specific feedback. When the Appraisee submits the goal, the Appraiser will receive a notification "The Appraisee has submitted a goal".
1. Open the Goal submitted by the Appraisee.
2. Click the Request Revision button located next to the Accept button.
✓ The Request Revision pop-up opens.
3. In the Feedback textbox, enter your feedback to guide the Appraisee on what needs improvement.
Note: This feedback will appear in the Comments section of the goal, where both Appraiser and Appraisee can communicate further if needed.
4. Click Request Revision.
Once submitted, the Appraisee will receive a notification and can update and resubmit the goal after making the suggested changes.
Approve Goals
The Appraiser can approve the professional development and student growth goals of an appraisee.
When the Appraisee submits the goal, the Appraiser will receive a notification "The Appraisee has submitted a goal".
1. Click the notification.
✓The Goal window opens.
2. Click Accept.
When the Appraisee marks the goal as accomplished, the Appraiser will receive a notification "The Appraisee has accomplished a goal".
3. Click the notification.
4. Click Mark Completed.
View Goals
The Appraiser can view the professional development and student growth goal of an appraisee.
1. In the Evaluation tab, click the Goal Setting.
2. Click any goal title.
Chat with the Appraisee
1. Click any goal title.
2. Click Chat.
When you click the Chat button, chat box will appear.
